Financial Executive Assistant
Full-Time | Portugal (Hybrid/On-Site)
We are seeking a dynamic Financial Executive Assistant to serve as the right-hand to the Founder. This is a unique, hybrid role designed for a professional with a strong background in accountancy who also excels in executive administration.
You will act as the primary point of contact for the company, managing communications and daily operations, while utilizing your sharp financial eye to oversee company expenditures, optimize budgets, and prevent unnecessary costs.
Key Responsibilities
- Executive Support & Communications: Serve as the first point of contact for external inquiries, manage the Founder's schedule, and coordinate high-level meetings.
- Cost Control & Gatekeeping: Review vendor proposals, operational expenses, and platform costs with a critical eye to ensure maximum capital efficiency.
- Accounting Oversight: Manage day-to-day bookkeeping, track invoices, monitor cash flow, and prepare internal financial summaries.
- Vendor & Agent Coordination: Assist in onboarding new service agents and processing billing setups.
What You Bring
- A degree or formal certification in Accounting, Finance, or Business Administration.
- Proven experience in an administrative, executive support, or financial coordination role.
- Exceptional attention to detail and a proactive mindset for cost-saving.
- Full professional fluency in both Portuguese and English (written and spoken) is required.
- Comfortable navigating digital platforms, CRM systems, and accounting software.
Marketing & Administrative Coordinator
Full-Time | Porto Office
As the Marketing & Administrative Coordinator, you are the organizational heart of the Porto office. You will provide essential support to our team of specialists, manage the office, and ensure our entire operation runs smoothly and efficiently. This role is perfect for a highly organized and proactive professional who excels at multitasking.
Key Responsibilities
- Provide administrative support to the Head of Listings and the team of specialists.
- Manage the Porto office, including supplies, vendors, and scheduling.
- Maintain and organize our central database of listings, ensuring all information is accurate and up-to-date.
- Coordinate the collection of marketing assets for new listings (e.g., scheduling photographers, collecting documents).
- Act as the first point of contact for inbound calls and visitors to the office.
Qualifications
- Proven experience in an administrative, office management, or marketing support role.
- Exceptional organizational skills and a high attention to detail.
- Proficient with modern office software (Microsoft Office, CRM systems, etc.).
- Fluency in both Portuguese and English is required.
- A positive, can-do attitude and the ability to work in a fast-paced environment.
